Privacy policy

1. Introduction

Welcome to DocTrust (“we,” “our,” or “us”). DocTrust is a mobile application developed and operated by WEBNUM LLC. DocTrust provides artificial intelligence-powered document analysis services that help users identify hidden risks, unfavorable clauses, legal pitfalls, and potentially deceptive language in contracts, agreements, and other legal or business documents.

This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use the DocTrust mobile application (the “App”) and any related services. Given the sensitive nature of the documents you may analyze through our App, we take your privacy and data security extremely seriously.

By downloading, installing, accessing, or using DocTrust, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access or use the App.

2. Information We Collect

2.1 Information You Provide Directly

Account Information: When you create an account, we collect your name, email address, and password. If you choose to sign in through third-party authentication providers (such as Apple Sign-In or Google Sign-In), we receive your name and email address from those services.

Documents and Content: When you use our document analysis features, we collect the documents, contracts, agreements, and other files that you upload, scan, or photograph through the App. This is the core data required to provide our risk analysis service. Documents may include text content, metadata, images of pages, and any annotations you add.

Analysis History: We store records of your previous document analyses, including risk summaries, flagged clauses, and your personal notes or bookmarks on analyzed documents, to allow you to revisit past analyses within the App.

Transaction Information: If you purchase a subscription or make in-app purchases, we collect transaction details processed through the Apple App Store or Google Play Store. We do not directly collect or store your payment card information.

Communications: When you contact us for customer support, report an issue, or send us feedback, we collect the content of your messages and any attachments you provide along with your contact information.

2.2 Information Collected Automatically

Device Information: We collect device type, operating system and version, unique device identifiers, device language and region settings, and screen resolution.

Usage Data: We collect information about how you interact with the App, including features used, number of documents analyzed, types of documents scanned, session duration, pages and screens viewed, actions taken within the App, and timestamps of activity.

Camera and File Access: With your permission, we access your device’s camera to enable real-time document scanning. We may also access your device’s file storage or cloud storage integrations if you choose to upload existing documents for analysis.

Log Data: Our servers automatically record information when you use the App, including your IP address, access times, app crash reports, and diagnostic data.

2.3 Information from Third-Party Sources

We may receive information about you from analytics providers, advertising networks, and third-party authentication services that you use to access the App. This information is used in conjunction with other information we collect to improve our services and your user experience.

3. Artificial Intelligence and Machine Learning

DocTrust leverages advanced artificial intelligence (AI) and machine learning (ML) technologies as the core engine powering its document analysis capabilities. Understanding how we use AI is a critical part of this Privacy Policy, especially given the sensitive nature of the documents you entrust to our platform.

Natural Language Processing (NLP): When you upload or scan a document, our AI models employ sophisticated natural language processing techniques to read, parse, and comprehend the full text of your document. This includes identifying sentence structures, legal terminology, contractual obligations, rights, limitations, penalties, and other key provisions.

Risk Detection and Classification: Our AI algorithms analyze document content against extensive databases of known risk patterns, unfavorable contract clauses, predatory language, ambiguous terms, hidden fees, automatic renewal traps, liability shifts, non-compete restrictions, data rights issues, and other potentially harmful provisions. Each identified risk is classified by severity level and category to provide you with a clear, actionable risk assessment.

Contextual Analysis: Our AI models perform contextual analysis to understand the relationships between different clauses within a document, identifying conflicts, contradictions, and provisions that may become problematic when read together, even if each individual clause appears benign on its own.

Plain-Language Summaries: The App uses AI to generate clear, plain-language summaries and explanations of complex legal and technical terms, making document content accessible to users without specialized legal knowledge.

Continuous Improvement: We use aggregated and de-identified data from document analyses to train and improve our AI models, enhancing the accuracy and breadth of risk detection over time. Individual documents may be reviewed in anonymized and redacted form to refine our machine learning algorithms. Personally identifiable information, party names, addresses, and specific financial figures are stripped from any data used for model training.

Cloud Processing: AI document analysis requires significant computational resources and is performed on secure cloud servers. Your documents are transmitted securely using industry-standard encryption protocols (TLS 1.2 or higher) and are processed in real time. Documents submitted for analysis are processed temporarily on our servers and are not permanently stored after the analysis is complete, unless you explicitly save them to your analysis history within the App.

Third-Party AI Services: We may utilize third-party AI and cloud computing providers (such as Google Cloud AI, OpenAI, or similar services) to process certain analytical tasks. These providers are contractually bound to process data only in accordance with our instructions and this Privacy Policy, and are prohibited from retaining, using, or sharing your document content for their own purposes.

4. How We Use Your Information

We use the information we collect for the following purposes:

Service Delivery: To provide, operate, and maintain the App’s core functionality, including AI-powered document risk analysis, clause flagging, risk scoring, plain-language summaries, and analysis history management.

5. How We Share Your Information

We do not sell your personal information or document content to third parties. The confidentiality of your documents is paramount to our service. We may share your information only in the following limited circumstances:

Service Providers: We engage trusted third-party service providers to perform functions on our behalf, such as cloud hosting, data analytics, AI processing, payment facilitation, email delivery, and customer support. These service providers have access to your personal information and document content only to the extent strictly necessary to perform their functions and are contractually obligated to maintain its confidentiality, security, and to refrain from using it for any other purpose.

Legal Requirements: We may disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect and defend our rights or property, prevent or investigate possible wrongdoing in connection with the App, protect the personal safety of users or the public, or protect against legal liability.

Business Transfers: In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your personal information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice within the App of any change in ownership or uses of your personal information prior to such transfer.

With Your Consent: We may share your information for any other purpose with your explicit consent.

We will never share the actual content of your analyzed documents with other users, advertisers, or any third party except as described above.

6. Document Data Handling and Confidentiality

We recognize that the documents you analyze through DocTrust may contain highly sensitive, confidential, and legally privileged information. We implement the following specific safeguards for your document data:

Processing-Only Access: Your documents are accessed by our systems solely for the purpose of performing the requested risk analysis. No human employee or contractor reviews your documents during the normal course of operations, unless you explicitly request manual review support or unless required by law.

Once analysis is complete and results are delivered to you, the original document data is purged from our active processing servers within 24 hours, unless you choose to save the document to your in-app analysis history.

Saved Analysis History: If you save an analysis to your history, the document content and associated risk report are stored in encrypted form and accessible only through your authenticated account. You may delete individual analyses or your entire history at any time through the App.

Anonymization for Training: Any document data used for AI model improvement is first subjected to rigorous anonymization, including removal of all names, addresses, financial figures, account numbers, dates of birth, and other personally identifiable information before being incorporated into training datasets.

No Cross-User Sharing: Document content from one user is never shared with, accessible to, or visible to any other user of the App.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our services. We will also retain and use your information to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

Specifically: account data is retained for the duration of your account plus 30 days following account deletion to allow for account recovery. Documents uploaded for analysis but not saved to your history are automatically deleted from our servers within 24 hours of processing completion. Saved analysis history is retained until you delete it or until your account is terminated. Aggregated and anonymized data used for AI model training may be retained indefinitely, as it cannot be used to identify individual users or reconstruct original documents.
